Paper stock books fail for predictable reasons: usage is written late, returns are forgotten, and nobody reconciles physical count to the book. Digital inventory only helps if every receipt and every issue is tied to a reason — treatment, feeding, or AI — and preferably to an animal or group.
Medicine inventory should answer three questions: what is on hand, what expires soon, and which animals received which product. Semen management is inventory plus genetics. Each straw should be identifiable enough that the breeding plan can be followed: which sire for heifers, which for problem breeders, which is restricted. Tank maps and cane positions reduce time spent hunting during a short standing heat.
Log receipts when semen arrives and deduct on each AI. Periodic physical counts catch mis-logged services. Expired or poorly handled semen is not “almost fine” — it is a fertility and trust problem with your AI technician and your genetic investment.
Inventory accuracy is a behavior metric. If physical counts never match the system, stop adding SKUs and fix who is allowed to remove stock without recording it.
On multi-site or multi-shed operations, keep store locations explicit. Moving a carton from main store to shed B without a transfer entry creates false stockouts and duplicate emergency purchases — a common cash leak on growing Pakistani dairies.
Access control matters more than fancy barcode scanners. Decide who may open the medicine cabinet, who may pull semen, and who may take concentrate bags. If everyone has unsupervised access, book inventory will always lag reality. A single storekeeper model works on many mid-size farms; larger operations need written location transfers and shift handovers.
