Privacy Policy

This policy explains what information DairyLogs collects, how we use it, how long we keep it, and the choices you have. It applies to dairylogs.com, the DairyLogs application, public farm tools, and related support channels.
1. Who we are
DairyLogs (“we”, “us”, “our”) operates dairy farm management software and the website at dairylogs.com (together, the “Service”). For privacy questions or requests, contact hello@dairylogs.com, +92 313 6764974, or our contact page.
If you use DairyLogs on behalf of a farm or business, that farm or business may also be a controller of the operational data entered into its workspace. Farm owners and admins decide who may access that workspace.
2. Scope
This policy covers information we process when you:
- Visit the marketing site, guides, blog, or public tools.
- Create an account or sign in.
- Enter farm, animal, milk, health, breeding, feed, or finance data.
- Invite teammates or accept an invitation.
- Contact us by email, phone, WhatsApp, or the contact form, including about paid plans.
Our Terms & Conditions govern use of the Service. If they conflict with this policy on a contractual point, the Terms control for that point.
3. Information we collect
Account information
Name, email address, password or other authentication credentials, profile details you choose to add (such as a display name or photo), and farm membership and role. If you invite teammates, we process their email addresses to send invitations.
Farm and operational data
Data you or your authorized members enter so the Service can function, which may include farm names and settings; animal identities, species, breed, status, genealogy, weights, and stall assignments; milk session logs, discarded milk, usage, and customer sales; breeding, heat, insemination, semen inventory, pregnancy, and calving records; health events, treatments, vaccination, deworming, and medicine inventory; feed recipes, stock, logs, and schedules; finance income, expenses, and related notes; files or images you upload; and similar operational records. This is business data about your farm. It may also include personal data if you identify people (for example a technician name or a customer name and contact).
Payment and plan communications
Paid plans may be arranged through WhatsApp or other manual channels. We may keep your name, phone number, farm details, selected plan, and the content of those messages so we can activate, change, or support your subscription. We do not currently operate an in-app card checkout. If a third-party payment channel is used, that provider processes payment details under its own terms.
Usage and technical data
Device and browser type, operating system, IP address, approximate location derived from network data, pages or screens viewed, referring URLs, timestamps, crash and diagnostic logs, and similar data needed to operate, secure, and improve the Service. Public tools (such as the cow feed, feed inventory, pregnancy due date, heat, calving, and culling calculators) may be used without an account; we may still process technical data from those visits.
Cookies and similar technologies
We use cookies and similar technologies that are necessary to sign you in, keep you signed in, remember farm or preference settings, and protect the Service. We may also use cookies or similar tools for aggregated analytics. You can control cookies in your browser; blocking necessary cookies may prevent sign-in or other features from working.
Communications
The content of emails, calls, WhatsApp messages, contact-form submissions, and support tickets, including attachments you send us.
Information we do not intentionally collect
Do not submit special-category health data about people, payment card numbers, national identity numbers, or other sensitive personal data unless a feature expressly requires it. DairyLogs is built for farm operations, not for storing human medical records.
4. How we use information
We use information to:
- Provide, maintain, host, back up, and improve the Service.
- Create and authenticate accounts and enforce roles and permissions.
- Send transactional messages such as invitations, password resets, security notices, and optional farm digests you enable.
- Respond to support, plan, and billing questions.
- Activate or change paid plans after you request them.
- Monitor abuse, fraud, security incidents, and reliability, and to enforce our Terms.
- Produce aggregated, de-identified statistics that do not reasonably identify you or your farm.
- Comply with law and respond to lawful requests.
We process this information because it is necessary to perform our contract with you, because we have a legitimate interest in operating a secure product, because you have consented (for optional messages or cookies where consent is required), or because the law requires it.
5. Sharing
We do not sell your personal information. We share information only as follows:
- Farm members. People you add to a farm can see data allowed by that farm’s roles and permissions. An owner or admin can grant, change, or revoke access. We are not responsible for how those people use data once they have access.
- Service providers. Companies that host infrastructure, store data, send email or messages, provide analytics, or otherwise help us run DairyLogs. They may process data only to perform work for us and as their own policies require.
- Messaging platforms. If you contact us on WhatsApp or similar services, that platform processes the conversation under its own terms and privacy policy. We do not control those platforms.
- Legal and safety. Authorities, advisors, or other parties when we believe disclosure is required by law, necessary to protect rights, safety, or the Service, or in connection with a merger, acquisition, or sale of assets (in which case we will require appropriate confidentiality).
- With your direction. If you ask us to send data to you or to a third party you designate.
6. Where data is processed
DairyLogs is operated using cloud infrastructure. Your information may be stored and processed in Pakistan and in other countries where we or our providers operate. Those countries may have different data-protection laws than your own. By using the Service you understand that your information may be transferred across borders as needed to provide DairyLogs.
7. Retention
We keep account and farm data while your account or farm workspace is active. After you close an account or we terminate it, we may retain data for a reasonable period for backups, security, dispute resolution, accounting, and legal compliance, then delete or de-identify it when we no longer need it. Encrypted backups may hold residual copies for a limited time until they rotate. We may keep records of plan purchases and support correspondence as required for tax or legal purposes.
If a farm owner deletes records or the workspace, those records may become unavailable to all members immediately, even if we still hold backup copies for a short period.
8. Security, backups, and data loss
We use reasonable administrative, technical, and organizational measures appropriate to a hosted software product, including encrypted transport (HTTPS), access controls, and farm-level roles. No method of transmission or storage is completely secure. We do not warrant that the Service is invulnerable to unauthorized access, hardware failure, software defects, provider outages, or other events.
You are responsible for: choosing a strong unique password; keeping credentials confidential; limiting owner and admin access; reviewing who is on your farm; and keeping independent copies of records that matter to your business (milk, health, breeding, finance, and similar). DairyLogs is not an archival vault and is not a substitute for your own backups or paper or spreadsheet copies of critical farm records.
We may make backups for our own operational purposes. Those backups are not a customer disaster-recovery service. We do not guarantee that any particular record can be restored after deletion, corruption, account loss, or an incident. Loss, delay, or inaccuracy of farm data can cause business harm; our Terms limit our liability for that harm, including lost data.
9. Your choices and requests
- Update profile details in account settings where the product allows.
- Ask a farm owner or admin to change or remove member access.
- Turn off optional email digests in notification preferences where offered.
- Request access to, correction of, or deletion of personal data we hold about you by emailing hello@dairylogs.com. We may need to verify your identity. We may refuse requests that are unlawful, excessive, or that would violate another person’s rights or a farm’s legitimate records (for example, we cannot secretly erase another member’s audit of milk they logged without the farm owner’s process).
- Close your account by contacting support. Closing your account may not delete a farm if other members still need it; farm owners must request workspace deletion separately.
If you are in a region that grants additional privacy rights, we will consider your request in line with applicable law.
10. Public tools and educational content
Public calculators, guides, FAQs, and blog posts are educational. Inputs you type into a public tool are used to produce an on-screen result. We do not treat those inputs as a veterinary or nutrition prescription. Do not enter another person’s sensitive personal data into public tools.
11. Children
DairyLogs is intended for adult farm operators and businesses. We do not knowingly collect personal information from children under 16. If you believe we have, contact us and we will delete it.
12. Automated decisions
DairyLogs does not make legally binding automated decisions about you (for example credit or employment). Features that highlight milk drops, due tasks, or similar alerts are operational aids only. You remain responsible for farm decisions.
13. Changes
We may update this policy. We will post the revised version on this page and change the “Last updated” date. Material changes may also be announced in the product or by email when practical. Continued use after the effective date means you accept the updated policy.
